Host Agreement Form

Signature to this form is required before we can set up your location.

📋 Purpose

  1. At Harmony Acres Ministry, we strengthen communities by sharing fresh, healthy food. Hosting a pickup location brings people together and improves access to nutritious meals.
  2. This volunteer role focuses on service, not profit, and relies on mutual trust—hosts care for equipment and members, while receiving support and clear communication. As a host, you help connect neighbors with quality food.

Host Benefits And Details

  1. Free Shipping. All Hosts receive free shipping.
  2. Revenue generated through your location will be used to calculate a 3% food credit applied monthly to your Harmony Acres account. (e.g. $2500.00 revenue equals $75 in food credits)
  3. Rewards will be given as food credits only. No cash options are available.
  4. Please consider these rewards a gift! We consider them a gift to you from us to express our appreciation for your generosity. We do not consider ourselves obligated to you but rather want to express our appreciation to you. We hold the right to revoke this reward plan at any time.
  5. Food credits will be applied to your account by the 10th of each month for the prior month's revenue.
  6. Food credits will not roll-over to the following month. To avoid losing your food credits please use them no later than the last day of each month.
  7. Host food orders do not generate more food credits for the following month. Only orders placed by other members who pick up at your location will generate food credits.
  8. There is no minimum revenue which will be considered. Whatever revenue is generated through your location, that is the number we will use to total your food credits.
  9. The maximum revenue for (1) electric cooler per month is about $2500 - $4500, and (1) white ice cooler can accommodate about 10 - 20% of this amount of revenue. These figures can vary significantly.

📦 Equipment and Property

  1. All equipment (coolers, covers, cords, etc.) belongs to Harmony Acres Ministry. Please handle these items with care.

🛡️ Safety

  1. If coolers fail, or if food looks spoiled, damaged, or poorly packaged, or for any food safety issue, contact farmer@harmonyacres.farm immediately.
  2. Check your email on delivery mornings in case of updates about delays or schedule changes. We will notify you promptly if deliveries are affected by severe weather or other issues.

⚠️ Dial 911 immediately for emergencies regarding personal injuries etc!

🔄 Discontinuing Hosting

  1. If you need to stop hosting, please give Harmony Acres Ministry three weeks' notice so we can arrange another location and maintain service. Harmony Acres Ministry may also end any location with a notice. Any store credit remains on your account and does not expire.

🔒 Theft

  1. Harmony Acres Ministry is not responsible for theft. Security cameras may be installed to discourage theft. As of this writing (01/07/26) we very seldom have issues with theft.

⚖️ Liability

  1. Harmony Acres Ministry is not liable for any injuries, damages, or losses at your pickup location. No Exceptions. Hosting is at your own risk.

  1. For questions or concerns, email farmer@harmonyacres.farm during business hours. Include your name and pickup location for faster help. For urgent issues such as equipment failure, food safety, or other emergencies, contact us immediately.
